Requirements (Experience / Skills)

Ideal candidates will be detail-oriented and have stellar problem-solving and communication skills, with a strong focus on customer responsiveness, and a team-oriented attitude towards supporting other team members including office personnel, pilots, vendors, and all others.

Operations Documentations Specialist

This full-time position is responsible for assisting the Director of Operations and the Chief Pilot with administrative expertise while operating with a high degree of autonomy, demonstrating a notable degree of experience, discretion, and technical administrative skills.

This position in general aviation is concentrated on managing all tasks related to documentation for standard operating procedures. This includes both the creation and maintenance of all documents and manuals, ensuring all documentation meets the companies and industries' needs and standards, as well as defining and tracking all documentation metrics.

In addition, performs a variety of advanced administrative day-to-day functions. The work requires in-depth knowledge of adobe pro, bridge, acrobat dc, and other programs such as excel and word, and overall advanced computer/technology competency. This position requires courtesy, tact, effectiveness in dealing with vendors and team members.

Aviation experience is desired.

Essential Functions/Job Responsibilities:

  • Track and analyze office workflow tasks.
  • Develop memorandums, reports, and documentation as needed.
  • Organize and facilitate internal and external communications, such as correspondence with the FAA.
  • Manage program and aircraft-related documents including the currency of all navigation publications, user guides, flight logs, discrepancy reports, manuals, and other company documents. 
  • Develop and revise operational, technical, or administrative procedural documents
  • Prepares, interprets, and disseminates information concerning programs, procedures, and manuals
  • Remain knowledgeable relative to the applicable portions of the General Operations Manual (GOM).
  • Thoroughly review and update revisions across all manuals on time.
  • Quality Assurance: Verify the accuracy of qualification data maintained in digital record keeping. 
  • Collect and maintain all paperwork for permanent records and tracking upon completion of the training program, and audit paper records for accuracy 
  • FAR Compliance: Maintain knowledge of applicable Federal Aviation Regulations (FARs), crewmember agreements, training manuals, and company policies and procedures.
  • Create new standard operating procedures for business or business units and quality management systems by our company and industry standards.
  • Organizes material and completes writing assignments according to set standards, e.g., order, clarity, conciseness, style, and terminology.
  • Responds to inquiries regarding the technical program or administrative regulations, policies, and procedures.
  • Encouraged to conduct research on technical or policy issues, compose, design, or edit department publications such as brochures, forms, manuals, and reports.
  • Maintain and keep organized files and records
  • Assist in the execution of day-to-day business including, but not limited to, answering the phone and placing calls, managing email, scheduling meetings and training, and any other duties 
  • Ensures the safety and quality of all assigned duties and responsibilities by actively and positively participating in the program
  • Provide courtesy, professionalism, and customer service to our vendors, staff, owners, and clients
  • Forward-thinking, and bring improvement in the distribution process through active support, participation, and training.

Knowledge, Skills & Abilities

  • Project planning and implementation experience required
  • Successfully manage project timelines, implementations, and resources.
  • Highly self-motivated with problem-solving skills required
  • Excellent organizational and time management skills required
  • Outstanding verbal and written English communication skills required
  • Detail-oriented with the ability to make projections, provide recommendations and solutions, and understand the operational impact.
  • Must have very strong attention to detail.
  • Keen eye for proper formatting of text
  • Must possess excellent interpersonal communication skills and customer service.
  • Must be extremely computer proficient. Skills necessary to operate word processing, email, and web-based and/or mobile device applications (Microsoft Office Suite, Adobe applications such as adobe pro, bridge, acrobat dc are a must)


Monday through Friday 8:00 am to 5:00 pm

Needs to be available for occasional phone support after-hours/weekends
